How an engagement runs.

Timelines depend on your systems and your team’s availability — we agree them in discovery rather than promise them here.

Phase 01 — Discovery

We map the work as it actually is.

What we do

Sit with the people who run the process. Trace real enquiries from arrival to done. Find where context is lost, where chasing happens, where decisions stall.

What we need from you
  • An hour with the process owner
  • Read access to a sample of real (anonymised) work
  • Honesty about where it hurts
What you get

A process map, a shortlist of friction points, and a recommendation: where AI preparation pays off, and where it doesn’t.

Phase 02 — Design

The workflow is written down before it is built.

What we do

Draft the workflow specification: stages, fields, review points, escalation rules and integrations — in language your team can argue with.

What we need from you
  • Sign-off on the boundary sheet
  • Named approvers for each checkpoint
  • A decision on what “done” means
What you get

A written design you own. If you stopped here, another team could build from it — that’s the point.

Phase 03 — Pilot

One workflow, live, inside your tools.

What we do

Build and run the pilot on real work with the checkpoints active. Review exceptions weekly with your team and tighten the rules.

What we need from you
  • A small group using it on real work
  • Weekly thirty-minute exception reviews
  • Patience for the first fortnight
What you get

Evidence: what the system prepared, what people changed, what it should never do again. Then a joint decision on what’s next.

Phase 04 — Handover & support

You own the system. We stay reachable.

What we do

Document the workflow, train the people who run it, and hand over the keys. Support continues on agreed terms.

What we need from you
  • A named internal owner
  • Time for handover sessions

Documentation, training, and a system your team can run — plus a direct line to us when the process changes.

A workflow that runs the same way every Tuesday is worth more than a dazzling demo. We optimise for the ordinary week, not the launch.

Smaller scopes finish.

One workflow, done properly, teaches more than a program of ten. We’d rather earn the second engagement than sell it up front.

If it can’t be audited, it isn’t done.

Every automated step leaves a record: what it read, what it produced, who approved it. Accountability is a feature, not a policy page.
